Summary Description:
This role is responsible for effective onboarding of hosting clients. The role involves managing the onboarding process but also analyzing gaps, identifying opportunities, and creating and improving workflows and systems.
The Hosted Services Onboarding Coordinator serves as the project manager for onboarding new hosting clients across services including ArchivesSpace, CollectionSpace, DSpace, and DuraCloud. They will coordinate and serve as the primary communicator with new clients on the onboarding process across multiple implementation and migration projects to ensure projects remain within timeline, budget, and scope. They will work closely with the data migrations staff to assess capacity and workload for data migration projects and communicate with hosting clients on the evolving status of migration projects. They will coordinate solutions with stakeholders if complexities arise.
This is initially a two-year position with the potential to extend and turn into a permanent position.
Duties/Job Responsibilities:
- Create and coordinate project timelines to guide client and Lyrasis staff in the onboarding process. Steps in the process include but are not limited to data migration, establishing authority in data sets, software configuration, and training clients in use of software.
- Facilitate the steps of setting up a hosted instance, theming and configuration, and migrating data.
- Coordinate with the hosting technical team, and data migrations team to determine workload capacity, queuing of incoming client onboards, and migration projects.
- Coordinate with the outreach team to ensure that a seamless transition from sales to onboarding.
- Communicate responsively and professionally with internal and external stakeholders and project collaborators on the status of implementation and data migration projects.
- Assess onboarding tools and practices to continuously improve client satisfaction and maintain transparent internal project management.
- Develop post onboard evaluation processes for assessing continued satisfaction.
- Assess and potentially develop training materials and identify opportunities to improve client training.
- Ensure delivery in terms of budget, timeline, and project scope.
- Advise and guide new clients on best practice application of the new services including ArchivesSpace, CollectionSpace, DSpace and/or DuraCloud.
Skills and Qualifications:
- 2-3 years of successful experience managing multiple projects simultaneously.
- Ability to work well in a distributed team environment.
- Superior time management skills.
- Strong customer service orientation.
- Ability to communicate effectively both in person and virtually using a variety of media and technologies.
- Experience working with technical and non-technical staff.
- A commitment to fostering a diverse and inclusive environment where differences and complexities in background, cultures, values, and viewpoints are valued.
Preferred Qualifications
- Experience working with library, museum and/or archive collections, collection data and content management systems in academic or public setting.
- Experience with some of the following ArchivesSpace, CollectionSpace, DSpace and/or DuraCloud.
- Experience with creating and delivering live and recorded training.
- Initiative to identify issues or pain points and proactively determine solutions.
- Ability to analyze workflows and situations, create recommendations and implement improvements.
- Experience with project management, software documentation, and team communication tools such as Basecamp, Jira, Wiki, Slack, etc.
- Experience with open-source communities and hosted services.
- Experience with creating user documentation for software applications.
